What are Personas?
A persona is a fictitious personality intended to represent a “sample” SouthWare user performing a particular role. The persona lays the foundation for how each user will interface with SouthWare and how SouthWare will help both the individual, and the company, achieve their goals.
The persona will include an overview of:
- Job Responsibilities
- Personal Goals
- Challenges
- Other application interface requirements
- Link to Personal Portal or groups of portals

What are Portals?
From the information outlined in the Persona, a Personal Portal is developed to provide a focused menu environment for a person doing a particular role within SouthWare. These portals are web pages that provide key information and included both status data and links to the programs and functions most likely needed by that job function.

With menu portals you get:
- Instant status review
Menu portals can include statistics, graphs and other status indicators so that you are continually aware of pending and recent activity. Examples include:
- Up to the minute financial data from ExecuMate II ™
- Recent history totals
- Current pending transaction statistics
- Report card grades from ExcelReport ™
- Open alert counts
- Information that is meaningful and pertinent to your job function
- Streamlined navigation
Each portal provides quick access to commonly used features. The multi-layer SouthWare menu is always available when needed, but the menu portal incorporates the options most commonly used in the individuals' job function. These options are available in a single-click environment.
Menu portals may also link to other menu portals. For example, the CEO portal provides links to the portals available to other managers. The CFO portal provides links to the A/P Operator portal, the A/R operator portal, etc.
With simple editing, menu portals can be customized to meet the specific needs of your business.
- Reduced Training
SouthWare menu portals utilize web page browser technology so that most new users will intuitively know how to use them. The point and click paradigm eliminates the need to teach other navigation methods to a new user.
With menu portals a new user needs only to learn how to use the features available from the portal.
- For a new user learning to perform a function such as Accounts Payable the menu portal serves as both a menu and a guide to the functions the user needs to learn.
- For cross training and skills versatility building, a seasoned user learning a new skill or role is also guided to the functions necessary for efficient performance in that role
- Instead of learning which options to use within a module, the user automatically knows which functions apply to a role.
- Quick access to related useful functions in other modules
A unique strength of menu portals is that they are focused on a role – not on a module. All the functions related to a role can be integrated into the menu portal even if they are part of different modules.
For example, a person performing the function of purchasing may need to access payables status information, while the payables person may need access to purchasing information. A/P data can be incorporated into a purchasing menu portal, and purchasing information can be incorporated into a payables menu portal.

What is FYI Technology?
FYI Technology - provides graphical workstations with an integrated reporting/editing portal for SouthWare data utilizing ReportMate technology. Now, you can:
Instantly create a new report format.
- Output the information into multiple formats.
- SouthWare grids for grouping, sorting, subtotaling and more
- WebView for a web page view of data using powerful CSS styling and automatic field hyperlinks
- Charts for bar, line and pie charts for selected fields

What is LearnFromYou Technology?
Can you “teach” your software the way that you work? With the SouthWare Excellence Series you can. A powerful new technology monitors the data you enter into fields, remembers that data and puts it there for you again – but only if you want it to. This learning feature is done per operator so that program features can be customized for one user without affecting other users and without complicated setup options.
LearnFromYou benefits you by:
- Learning Report Parameters
This technology saves the last values you used on a report, including the printer or type of output. The program then automatically defaults these values the next time you run the program.
- Learning in Entry/Maintenance Programs
You have the option to use “InstantLearn” to customize your defaults for selected fields. The system also looks for repeated entry of the same value in a field when you are adding new records. If you use the same value for a specified number of consecutive times the program automatically uses this learned value as the default on new records. For example, you always set up new customers as an “Open Balance”, the program will remember that value and default it into the field.
- Learning in the FYI Data Portal
The FYI reporting portal uses learn technology to remember the last settings you used for a particular format. When you access that format again your previous settings will be used.
